Over that time the practice has become a premier provider in the greater Dallas area, performing diagnostic testing and dispensing a variety of amplification systems. Allen Hearing Clinic is a preeminent regional center for the evaluation and non-medical treatment of hearing disorders.

<u>POSITION SUMMARY</u>
<br>

<br>
The Patient Care Coordinator is the first point of contact for customers and is responsible for greeting customers, answering the phones, scheduling appointments, completing administrative processing and recordkeeping. The Patient Care Coordinator will be able to answer questions regarding advertising promotions, screen customers to determine what services will meet their needs, and demonstrate excellent customer service. The position supports the mission of the practice by demonstrating excellent customer care and incorporating telemarketing and customer retention calls as needed.

<u>PRIMARY JOB FUNCTIONS</u>
<br>

<br>
<u>Customer Service </u>
<br>

<br>
• Opens the office and ensures the front office is in order. 
<br>
• Retrieves phones messages and prioritizes return phone calls. 
<br>
• Greets and assists/directs customers who come to the practice. 
<br>
• Answers incoming calls and guides customers to the appropriate service. 
<br>
• Distributes and obtains appropriate forms, including new patient information, insurance information, and HIPAA information for all customers. 
<br>
• Schedules all appointments. 
<br>
• Prepares, pulls and files client charts on a daily basis. 
<br>
• Confirms hearing aids and ear molds are ready prior to client appointment. 
<br>
• Confirm the next day appointments. 
<br>
• Tracks referral source for all customers. 
<br>
• Ensures the beverage area is stocked and coffee is fresh. 
<br>

<br>
<u>Accounting functions </u>
<br>

<br>
• Collects and records payments. 
<br>
• Completes bank deposits. 
<br>
• Posts charges, returns, and exchanges in the accounting system. 
<br>
• Prepares invoices and prints HCFA forms. 
<br>
• Submits appropriate information to the insurance carriers, and requests third party prior authorization as needed. 
<br>
• Works with insurance, and other agencies to facilitate authorizations and benefit verification. 
<br>
• Generates customer bills after receiving Explanation of Benefits information from the insurance carriers. 
<br>
• Reissues bills if account is 30 days overdue. 
<br>
• May be required to contact customer’s who have accounts that are 60 days overdue. 
<br>

<u>Product Knowledge</u>
<br>

<br>
• Performs minor hearing aid repairs as allowed by state law such as battery door or receiver checks. 
<br>
• Performs hearing aid checks and cleaning, as allowed by state law. 
<br>

<u>JOB SKILLS, KNOWLEDGE AND ABILITIES</u>
<br>

<br>
• Must be high school graduate. Prefer an Associates degree in administrative, accounting, sales or customer oriented field or equivalent work experience. 
<br>
• Excellent interpersonal skills that allow effective working relationships with a diverse customer, colleague, and vendor population. This includes listening, sales, and problem solving skills. 
<br>
• Ability to input and track sales revenues and balance accounts daily, weekly, and monthly. 
<br>
• Must be able to organize time and prioritize numerous duties within strict deadlines. 
<br>
• Requires the ability to deal with numerous interruptions. 
<br>
• Must deal with customers in a caring and respectful manner. 
<br>
• Must be detailed oriented.

<description><![CDATA[GENERAL DESCRIPTION:  Under the supervision of the Enterprise Content Management  (ECM) Director, the File MaintenanceTechnician works collaboratively on HBMG, Inc's projects using the company's proprietary Electronic Data Management System (EDMS) providing a full range of electronic file maintenance/document control support services.  Works with HBMG's ECM Managers and subject-matter experts to ensure electronic file maintenance processes are effective, efficient and secure. Assists with the management of HBMGs collaboration suite of electronic file maintenance (EDMS) products.<br>
<br>
ESSENTIAL FUNCTIONS:<br>
<br>
Works with clients on project site(s) to:<br>
-provide electronic file maintenance/document control support services, including document analysis, scanning and retrieval;<br>
-provide administrative support functions for the HBMG software (file management) suite, including system access security, document access security and document property creation and maintenance;<br>
-support end users with training needs;<br>
-ensure that policies and procedures, regarding document control and document confidentiality, are followed by all system users;<br>
-act as client's first point of contact for system issues that need to be escalated to HBMG software developers or the ECM Director;<br>
-resolve first-tier EDMS conflicts, as applicable, when needed or required;<br>
-maintain client acceptance/approval of proposed electronic file management configurations;<br>
-provide timely, informative and concise project status reports;<br>
-identify and originate project change requests as needed;<br>
-coordinate client meetings and perform demonstrations as needed.<br>
<br>
Work with HBMG's various ECM team members to:<br>
-develop end-user training materials;<br>
-create deliverable documents required by clients.<br>
<br>
QUALIFICATIONS REQUIRED:<br>
-High school diploma or equivalent certificate.<br>
-Minimum of two (2) years experience as an administrator or support staff performing duties involving electronic file management, electronic record keeping, or document  and/or business process automation solutions.<br>
<br>
KNOWLEDGE, SKILLS AND ABILITIES:<br>
-Ability to effectively use software applications on a personal computer.<br>
-Ability to communicate effectively both orally and in writing.<br>
-Ability and willingness to be courteous, tactful and diplomatic when working with clients and staff.<br>
